Calendar scheduling for independent coaches

By the LinkMyCal team · Reviewed

LinkMyCal gives independent coaches a way to share availability with repeat clients through their existing Apple Calendar or Google Calendar. Initial account and calendar setup is required. Consider it for ongoing relationships where finding the next session matters.

Keep discovery calls and ongoing sessions distinct

A prospective client and a returning client have different scheduling needs. The prospect may want a single discovery call. The returning client needs a reliable place to find the next session without searching old messages.

Keep your discovery process simple and test calendar-based availability with a small group of existing clients first. Do not move every lead into a calendar connection process before checking whether that extra setup helps them.

Leave room for the work between conversations

Session notes, preparation and breaks belong in the schedule even when the client never sees them. A five-hour block with 50-minute sessions and ten minutes reserved after each session fits five complete appointments.

Use the capacity calculator to compare a concentrated coaching day with a more spread-out week. The maximum is a planning ceiling. It is not a prediction of demand, revenue or how much focused coaching you can sustain.

Try a repeat-booking workflow

Set up your business calendar, publish selected availability and invite a willing client. Walk through account creation and calendar connection once, then ask the client to find and book a later slot without your help.

If you require intake forms, payment collection, course delivery or a clinical record system, verify those needs independently. LinkMyCal's supported calendar paths are Apple Calendar and Google Calendar. Outlook support is coming soon.

A practical checklist

  1. Choose returning clients who already use a phone calendar.
  2. Keep preparation time outside published session windows.
  3. Check that clients can find the second booking without prompting.
  4. Record setup friction and repeat bookings before expanding the pilot.

Questions to ask before you start

Is calendar setup worth it for a single discovery call?

It may not be. A conventional booking page can be a better fit for one-off appointments; test LinkMyCal with repeat clients first.

Can I assume this supports healthcare compliance requirements?

No. This page makes no clinical compliance claim. Verify your profession's requirements and contractual terms before using any scheduling service for sensitive information.
