Appointment capacity calculator
Work out how many complete sessions fit into your week after allowing for buffers. No signup required; the calculation runs in your browser and analytics are disabled on these tool pages.
Maximum capacity, assuming identical daily hours and a buffer after the final appointment too. Deduct lunch, travel and admin time from your available hours first. This is not a forecast of bookings or income.
How the calculation works
Appointments per day = round down (available hours × 60 ÷ (session minutes + buffer minutes)). Weekly capacity = appointments per day × working days.
For example, four available hours, 60-minute sessions and a 15-minute buffer fit three appointments per day. Over five days, that is 15 appointments. The 15 spare minutes each day cannot be combined into another appointment later in the week.
What should I count as available time?
Start with time you can spend on sessions and their buffers. Remove lunch, travel outside those buffers, fixed meetings and preparation blocks. If your daily hours differ, calculate each day separately and add the daily totals.
Does this predict revenue or demand?
No. This is a capacity ceiling assuming every usable slot can be filled. Client demand, cancellations, personal energy and other commitments affect actual bookings. Use it to decide what availability to publish, not as an income forecast.
