Appointment scheduling for personal trainers
By the LinkMyCal team · Reviewed
LinkMyCal helps independent personal trainers share bookable availability with returning clients in Apple Calendar or Google Calendar. Clients create an account and connect their calendar once, then find your published slots in the calendar they already use.
Build a training week you can actually deliver
A free hour on the calendar is not always a usable training slot. Travel between locations, equipment setup and recovery time all reduce what you can sell. Start by separating the time you can coach from the time you need around each session.
For example, a four-hour coaching block fits three 60-minute sessions when you reserve 15 minutes after every session. Four sessions would leave no room for those buffers. The free capacity calculator below makes that tradeoff visible before you publish availability.
Give returning clients a place to find you
Create your business calendar, define the availability you want to offer and invite the clients who should see it. Each customer completes the account and calendar connection steps. After that, the calendar becomes a place to find your open sessions again.
Use a separate calendar or a deliberately chosen audience when different clients should see different availability. Review who has access before publishing, and use Blocked Time when you are away. Your personal appointments do not need to become a public marketing page.
Check the fit before moving your client roster
This workflow makes most sense when clients return and already use their phone calendar. A public booking link may be easier for a new lead who only wants one session and does not want to connect a calendar.
If you need membership billing, exercise programming, waivers or gym resource management, assess those requirements separately. This page does not claim that LinkMyCal replaces a full gym management system. Apple Calendar and Google Calendar are supported; Outlook is coming soon.
A practical checklist
- Write down your weekly coaching blocks and travel time.
- Estimate session capacity with a buffer after each appointment.
- Invite one willing returning client and complete calendar setup together.
- Test a booking and a time-off change before inviting the rest of your clients.
Questions to ask before you start
Do my clients need a new app?
They do not need to install a LinkMyCal app. They do need a LinkMyCal account and a supported calendar connection before using this workflow.
Does this automatically reserve the same session every week?
Publishing repeating availability is different from reserving a recurring appointment for a specific client. Confirm the booking behavior you need before moving standing sessions.
