Apple Calendar booking: links, imports and live availability

By the LinkMyCal team · Reviewed

An Apple Calendar event, an ICS download and a booking system do different jobs. An ICS file adds a one-time event. A booking page lets someone choose a slot on the web. LinkMyCal connects customers' calendars so they can discover the availability a professional shares with them.

Importing an event does not reserve an appointment

An iCalendar (.ics) file contains event data. Opening it lets a compatible calendar import that information. It does not check the organizer's live capacity or stop someone else from choosing the same time.

Use the free ICS generator for an event whose time is already agreed. Treat the exported file as a snapshot: distributing a revised file is not a reliable substitute for a booking or cancellation workflow.

A booking link and a calendar connection have different setup costs

A conventional booking link sends a customer to a web page to choose a time. That can suit a first appointment. With LinkMyCal, a customer creates an account and connects a supported calendar before using the shared availability workflow.

The benefit to test is repeat discovery: can that customer later open their calendar and find your available sessions without searching an old message? The initial setup is real and should be explained before you send an invitation.

Connect the right calendar account

Apple Calendar is an app that can display calendars from different accounts. In LinkMyCal's connection walkthrough, choose the instructions for the account and device you actually use. The Apple Calendar path can differ depending on whether you use a Google account or another email account.

Follow the connection walkthrough, then confirm the expected calendar appears and test a booking. Apple Calendar and Google Calendar are supported by LinkMyCal; Outlook is coming soon. Importing an ICS file in Outlook is a separate capability from a live LinkMyCal Outlook connection.

A practical checklist

  1. Use an ICS file when the event time is already agreed.
  2. Use a booking workflow when the customer still needs to choose a slot.
  3. Explain any required account and calendar setup before inviting clients.
  4. Test a change or cancellation as well as the initial booking.

Questions to ask before you start

Does an ICS file keep updating automatically?

A downloaded and imported event is a snapshot. A subscribed feed or a connected scheduling service is a different workflow with different update behavior.

Does Apple Calendar itself become a public booking page?

Adding an event to Apple Calendar does not create a booking page. LinkMyCal provides its own availability and booking workflow after connection.
